Automate recurring activities with Zoho One's RPA addition

Robotic Process Automation (RPA) automates manual and routine tasks for businesses by using digital robots that replicate human behaviour. These virtual tools, known as software robots, emulate human actions so they can use their digital systems to free up time for strategic and decision-making activities instead of managing routine and repetitive ones.

RPA removes the inefficiencies associated with manual processes which have potential for errors, delays, and increased labour costs. (eg: manual invoice generation)

With the latest addition of Zoho RPA in the Zoho One bundle, you can now use Zoho RPA through your Zoho One account to automate all your mundane activities and free up time for more important activities that require critical thinking.

Now that we know the importance of RPA in an organisation for automating repetitive tasks, let us explore some core features and benefits of using Zoho RPA.

Core features and benefits of Zoho RPA

Windows and web automation: Zoho RPA lets you set up workflows to automate repetitive tasks such as extracting data, performing calculations, and other mundane activities on your Windows applications, making the work faster and error-free.

Screen recording capability: Zoho RPA has a screen recorder for your Windows system and web. When enabled, it records your clicks and replicates the same behavior, which enables you to automate repetitive tasks with just a few clicks.

Mac users can also use the screen recording feature with the help of a windows agent to make it run.

Connect cloud with on-premise: You can also use Zoho RPA to seamlessly connect cloud applications with on-premise solutions, making it easy to share data and bridge the gap between outdated legacy systems and cloud applications.

Understand the features of Zoho RPA through a use case

Let's understand how Zoho RPA works through a practical use case that combines the above three features.

Use case 1

Consider a scenario where you are an HR manager using a Windows system and you need to onboard new employees in your organization, but their details are stored in a spreadsheet.

Instead of manually copying the data of each employee from Excel and entering them in your HRMS system, you can use the recorder feature in Zoho RPA, record the process of extracting data from the spreadsheet, and perform all the necessary steps to successfully onboard one employee into your HRMS system.

The RPA bot will then step in and automatically repeat this entire process for onboarding the remaining employees. Thereby, freeing up time and labour.

Use case 2

Let us consider another scenario where you have to raise a procurement request and select a suitable vendor by comparing the prices they offer.

The details of this procurement request are entered in Zoho Creator and submitted, which triggers the RPA bot. Then the RPA bot searches for suitable vendors by extracting price quotations from their respective websites.

You can then create the price quotes for these Vendors using Zoho Creator and select the preferred vendor.
