The company

GEDU Services Pvt Ltd. offers end-to-end student onboarding for international universities like Schiller, GBS Dubai, and GBS Malta through technology adoption and new education models. GEDU uses Zoho products extensively to track the entire student journey and improve the student onboarding experience at every step.

The process before Zoho Bookings

Students would previously fill out application forms from GEDU's website, and their applications would be captured in Zoho CRM. Selected candidates would be invited for an interview and subsequent online meetings, all of which were scheduled through Calendly. Students would also schedule campus tours before enrollment, which was done by calling the university reception and booking a slot based on the field instructor's availability.

The challenge

The GEDU team wanted to send different booking page links to student prospects during the various onboarding stages, with each book meetings associated with custom modules inside the CRM. Time zones were also a concern when it came to rescheduling, cancelations, reminders, and notifications through email, and managing these processes became hectic for GEDU recruiters. With Calendly, it was difficult to push data to other apps without assistance from external integrations. Plus, the pricing was shooting up with the number of administrators they were planning to onboard.

Leaning on Zoho Bookings

Today, GEDU has Zoho Bookings create a meeting and automatically associate with student applications. Meeting links are generated during select stages and sent out over email. All the team has to do is conduct interviews and verification online whenever a student books a slot.

Each meeting is recorded in the student records throughout the onboarding process. Insights into the duration of interviews, completed meetings, and no-shows are tracked as reports on the dashboard, which gives GEDU a bird’s-eye view of the interview process.

Streamlined bookings

The switch to Zoho Bookings from Calendly was seamless, and system adoption on the team was quick. Most of the previous manual processes are now eliminated. The GEDU Services team is now finally able to manage interviews without issues like double-bookings or appointments made for unavailable hours. Zoho Bookings has helped increase visibility of all team member meetings, and this has improved operational efficiency. The onboarding process is now completely tracked. The recruitment team initially started the scheduling automation workflow for their Schiller University applicants, and have since extended the workflow to GBS Dubai, GBS Malta, and EMA.

Campus tours

Campus tours are crucial in helping students across the globe familiarize themselves with university facilities while increasing their chances of enrollment. Students no longer have to call university reception; with Zoho Bookings, they simply book an available slot online, and the campus tour gets booked instantly.
